Job Description:
The Events Coordinator works within the Events Department planning, coordinating, and executing all income generating events at The Bryan Museum such as weddings, corporate or private events, other rental space agreements. The Coordinator position is responsible for overseeing tasks throughout the event planning process to ensure seamless events, while delivering the highest quality of service. This position focuses on bar logistics and communication and coordination with clients, vendors, and other departments for the success and execution of an event. This position works collaboratively within the events team, reporting directly to the Director of Events.
Responsibilities
- Supervise and facilitate wedding ceremonies and receptions, providing on-site support and tending to any incidents or inquiries. This position may take the day-of lead role and act as venue wedding coordinator in the absence of one.
- Assist with responding to rental inquiries in a timely, effective, and proactive manner. Communicate/liaise with clients through their planning process as needed.
- Provide venue tours to identify the potential client’s needs and ensure customer satisfaction.
- Communicate and work with vendors, catering services, and other event providers prior to and during the event to ensure adherence to property rules and regulations. Establish and maintain a good relationship with all vendors.
- Oversee bar operations which includes ordering alcohol and supplies, hiring bartenders, organizing bartender schedules, follow up on payments, and ensure best practices and service are up to standards.
- Communicate vendor and volunteer requests, and ensure enquiries are placed in a timely fashion.
- Order supplies and submit purchase orders/check requests, communicating with the finance department.
- Ensure that the venue and facilities are clean and organized and equipped for hosting events. Assist during set‐up/clean‐up.
- Assist with coordination and day-of logistics for bridal shows.
- Assisting in the planning and execution of our annual Gala fundraiser.
- Act as representative of Bryan Museum and event department and its offerings, maintain knowledge of and actively promote Bryan Museum venue and its rental offerings and experiences.
- Bartend when needed.
Qualifications and Skills:
- Background/experience in working real time events, event development, and coordination. Wedding experience is preferred.
- Must be able to multitask, meet deadlines, and solve problems independently.
- Present yourself in a professional manner and appearance.
- Must have the ability to lift 30lbs.
- TABC certification
Reports to: Director of Events
Job Type: Full Time
Schedule: 40 hrs/week. Weekends are required with extended hours on Saturdays. Schedule must be flexible dependent on the event calendar.
