The Nelda C. and H.J. Lutcher Stark Foundation is seeking a Registrar for the Stark Art & History Venues, including the Stark Museum of Art and The W.H. Stark House. The Registrar will maintain the electronic and paper records for all object records in The Museum System (TMS), including acquisition records, condition/conservation reports, paper object files, and other supplementary information for the Stark Museum of Art and The W.H. Stark House. The main purpose is to provide users (staff and public) with high quality and accurate information through TMS and the web publishing component, eMuseum. As part of the collections and exhibitions staff, the Registrar participates in all aspects of installations and de-installations at the Stark Museum of Art and The W.H. Stark House. The Registrar also helps maintain good collections care by ensuring safe housing of objects at the Stark Museum of Art and The W.H. Stark House, as well as climate monitoring at both venues. The Registrar oversees outside requests for photography of the collection and works with an outside photographer to fill the requests and meet internal staff needs for high quality photographs.

Essential Duties and Responsibilities:

  • Maintains the digital and paper records for all objects in the collections management system, The Museum System (TMS), including acquisition records, condition/conservation reports, paper object files, and other supplementary information for the Stark Museum of Art and The W.H. Stark House. Interacts with Curator to ensure accuracy of collection records in collections management system (TMS).

  • Creates and maintains reports for the Stark Museum of Art and The W.H. Stark House through The Museum System (TMS) and Crystal Reports.

  • Assists WHSH Interpretation & Programming Manager and Library & Records Manager with research to determine the disposition of Research Collection objects at The W.H. Stark House.

  • Oversees incoming and outgoing loans and art shipments, including processing of requests, packing and shipping arrangements, confirming insurance.

  • Engages and supervises external contractors for appraisals, photography, conservation.

  • Fills outside and internal requests for images of the collection. Responsible for

    maintaining and organizing all associated documentation.

  • Maintains relationships with internal and external stakeholders.

  • Assesses TMS object records prior to publishing online through eMuseum to expand and

    improve information access for internal and external stakeholders.

  • Monitors environmental conditions of the Stark Museum of Art and The W.H. Stark

    House. Conducts collections-related housekeeping and Integrated Pest Management at

    The W.H. Stark House in conjunction with Director, Exhibitions & Collections.

  • Oversees photographic documentation and related TMS process.

  • Facilitates access to collections for approved non-staff visitors (researchers).

  • Leads ongoing re-housing and reorganization of storage at the Stark Museum of Art and

    The W.H. Stark House.

  • Participates in all aspects of the installation and de-installation of exhibitions at the Stark

    Museum of Art.

  • Installs and de-installs seasonal settings at The W.H. Stark House in consultation with

    WHSH Interpretation & Programming Manager and Director, Exhibitions & Collections.

  • Liaises with Senior Accountant for quarterly spot check at the Stark Museum of Art and The W.H. Stark House.

  • Oversees Full Inventories at the Stark Museum of Art and The W.H. Stark House in collaboration with Accounting Department

  • Supports the capabilities of collections and exhibitions staff members.

  • Provides a high level of energy and professionalism and infuses staff with enthusiasm

    and drive to advance the mission of the collections department and Stark Cultural

    Venues.

  • Coordinates operational duties of collections department including budgets and

    administrative reports.

  • Maintains and encourages open communication with Foundation personnel and Stark

    Cultural Venue staff and foster a productive, efficient, and team-oriented work environment.

    Education/Experience: Minimum of a bachelor’s degree in art, art history, museum studies or a related field. Minimum of three years experience working in a collections or registration department handling art and historic objects, managing loans, and processing new acquisitions. Proficiency with collections management system, preferably TMS, required.
