Job Opportunity
The Houston Museum District Association (HMDA) is conducting a search for an Executive Manager
who will provide administrative and logistical support for HMDA. Currently, the 19 members of the
HMDA serve approximately 7 million visitors per year and the Museum District is an important tourism
destination, a vital educational resource and a major asset as Houston competes in the global economy.
Further, HMDA promotes Houston as a cultural destination, publicizes activities of member museums
and support projects that enhance relationships between public-facing cultural institutions.
TITLE: Executive Manager
REPORTS TO: Co-Presidents, Board of Directors
START DATE: October 2021
SALARY: 40-45K, approximately 20 hours per week (future opportunity for full-time employment)
Primary Duties and Responsibilities:
The Executive Manager is responsible for providing administrative support to the Co-Presidents,
Committee Heads and Board of Directors; managing development, finance and communications.
Administrative
• Organize meetings of Co-Presidents, Committee Heads and Board of Directors; prepare meeting
agendas and relevant materials
• Prepare meeting minutes and maintain all records
• Research issues and disseminate information to board members
• Provide administrative support and assist with special projects, including the strategic planning
• Implement Board decisions
• Answer, screen, and forward incoming calls and emails while providing basic information when
needed
Development
• Facilitate new and existing grant applications and reports; maintain foundation records and
research new grant prospects
• Manage member and donor database
• Prepare correspondence
Finance and Operations
• Manage office space, equipment, supplies, including computers/IT, printers, and phones
• Manage vendor relationships, including cost comparisons and negotiating contracts
• Monitor budgets
• Liaise with and oversee contract finance officer/bookkeeper
• Administer insurance policies and lead the annual renewal process
Communications & Marketing
• Maintain and update website and social media accounts
• Coordinate and manage communications and marketing to the public
• Communicate marketing and PR inquiries and other opportunities with members
Professional Skills and Qualifications
• B.A. required
• Organized and energetic self-starter who is passionate about art and culture
• Detail oriented, and enjoys completing tasks on time and in an efficient manner
• Excellent oral and written communication skills
• Strong computer skills. Must be fully proficient in available software, including Microsoft
Office Suite, in particular, Microsoft Excel
